What DEVONthink is

DEVONthink is a document and information manager for Mac and iOS: one place for texts, PDFs, web pages, images, emails and spreadsheets, stored as documents in databases that are easy to back up.

Inside a database you sort documents into groups, add tags, build smart groups (saved, self-updating collections), link documents to each other like a personal wiki, and set reminders so the right document turns up at the right time.

You can also take notes in Markdown, plain or rich text, annotate documents, and keep multiple versions of a document with one-click access to earlier ones.

Editions and prices

Standard costs 99 USD, Pro 199 USD and Server 499 USD. Every licence includes two seats, so two Macs, and one year of updates; extra seats cost 49 USD for Standard and 99 USD for Pro or Server.

DEVONtechnologies stresses that this is not a subscription. When the update year ends, the app stays yours and fully functional; you can extend updates (49 USD a year for Standard) or skip them, and extending later does not cost more.

The editions differ a lot. Standard includes importing, indexing, sync, encrypted and revision-proof databases, versioning, tagging, See Also, Classify, smart groups and scripting. Pro and Server add generative AI integration, the chat assistant, summarization, assisted search, scanner integration with OCR, email archiving and custom metadata. Server adds a web interface and access management.

Pro also includes DEVONthink To Go for iPad and iPhone, with five mobile seats, for as long as the licence is eligible for updates.

Privacy and safety of your archive

DEVONthink stores your databases locally on your Mac, not on DEVONtechnologies' servers. When you sync between devices, the connection and the data on the cloud service are encrypted, and the database on your Mac can be encrypted too.

Revision-proof databases make sure an archive cannot be modified unnoticed, useful for financial records, and you can export your data at any time in several ways.

For AI, you choose the model: online or installed locally. You can also connect DEVONthink databases to your favourite AI app through MCP, a standard way for AI apps to reach your data.

How well it finds documents

Inside its databases, DEVONthink is built to find things. Its built-in AI sees connections between documents, suggests categories and assists your searches; DEVONtechnologies says that if it is in DEVONthink, you will find it.

OCR, available in Pro and Server, makes scanned documents searchable, and custom metadata fields let you search by your own categories such as a client or a case number.

The condition is in that sentence: it has to be in DEVONthink. You collect documents into its databases first, and it works within them rather than across every folder on your Mac.

Who should buy DEVONthink

DEVONthink fits people whose work is information: students, editors, lawyers, medical practices and researchers, the users DEVONtechnologies itself names.

Use the generous trial, at least 30 days or 150 hours of running time, to decide between Standard and Pro based on whether you need OCR, email archiving or the AI chat.

Limits

If you do not want to move your files

DEVONthink asks you to build a library. Shlexball searches the files you already have where they are: describe a document in plain English and it searches file and folder names and the text inside files, including PDFs and Word documents.

Shlexball is read-only, runs its language model on your Mac and never uploads files. The first 30 searches are free, then 9 USD a month or 59 USD a year.

Don't want to move your files? Shlexball searches them where they are: 30 free searches.
